Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information to provide and improve products and services for clients are:

  • Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
  • Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:

We provide removals, storage and house clearance services. When someone asks us for a quote, by phone, by email or through the enquiry form on our website, we need their name, contact details and the addresses involved so that we can understand the job, give an accurate price and arrange the work. Where an enquiry does not become a booking, we rely on our legitimate interest in responding to the request the person has made of us, and in keeping a record of the quote for a limited period so that we can answer any follow-up question and resolve any disagreement about what was quoted. We also use information about completed jobs to review and improve how we plan and price our work, for example understanding how long particular types of move take and where access is difficult. The information we use is limited to ordinary contact details and details of the job itself. We do not use it for profiling or automated decision-making, we do not sell it or share it for anyone else’s marketing, and we do not use it for our own marketing without consent. The benefit to the person is a prompt and accurate quote and a service that is properly planned. The impact on them is minimal, because they provided the information to us for this exact purpose, we keep it no longer than we need it, and they can ask us to delete it at any time.

For more information on our use of legitimate interests as a lawful basis you can contact us using the contact details set out above.

If a customer raises a query, makes a complaint, or brings a claim, for example about damage to an item during a move or while in storage, we need to keep the relevant records so that we can investigate it properly and respond. In practice that means their contact details, the record of the job, our correspondence with them and, where damage is alleged, photographs of the item or the property. We also need to keep these records so that we can defend ourselves against claims that are made against us, and so that we can deal with our insurers. Keeping the records is necessary because a complaint cannot be investigated fairly without knowing what was agreed and what actually happened on the day. The benefit runs in both directions: the customer gets a properly investigated answer and, where appropriate, a remedy, and we are able to account for our work. The impact on the person is limited, because we only keep the information that relates to the complaint or claim, we keep it for no longer than we need it, and they can ask us for a copy of it or ask us to correct it if it is wrong.

For more information on our use of legitimate interests as a lawful basis you can contact us using the contact details set out above.

Where we get personal information from

How long we keep information

Where an enquiry does not become a booking, we keep the enquiry information for 24 months from the date of the enquiry, and then delete it.

Where a job goes ahead, we keep the job record and the related financial records for 6 years after the end of the contract, so that we can meet our tax and accounting obligations and deal with any claim brought within the limitation period.

Cookies and embedded content

This website does not set cookies. We do not use analytics, advertising or tracking technologies, and we do not store anything on your device.

To stop the enquiry forms on this site being abused, our server counts how many submissions come from a given internet connection. It does this using a shortened, one-way hash of your IP address rather than the address itself. That count is held separately from your enquiry and is never attached to it, and we do not use it to identify you or to build any profile of you. We rely on our legitimate interest in keeping the forms secure and usable.

Some of our pages show a map, provided by Google Maps: a map of our depot on the contact page, and a map of the towns we cover on our home page and on a number of other pages across the site. These maps load automatically with the page. When a map loads, Google receives your IP address and information about the page you are viewing; that is Google’s own processing, governed by Google’s privacy policy rather than this notice. When we last checked, loading a map did not place any cookies or store anything on your device, although Google may set its own cookies if you go on to interact with a map.

Our house and office clearance pages show our waste carrier registration directly from the Environment Agency’s public register, so that you can confirm it is current rather than take our word for it. That panel is served by the Environment Agency, a UK public body, and loads with the page; when it does, the Environment Agency receives your IP address. We use it only to evidence our registration and receive nothing back from it.
